These Terms & Conditions govern all retreat bookings and participation agreements between Oasys and its participants.

By booking a retreat with Oasys, you agree to the following terms.


1. Scope of Application

These Terms & Conditions apply to all bookings, registrations, and participation agreements relating to retreats, workshops, and experiences offered by Oasys, unless otherwise agreed in writing.


2. Booking & Contract Formation

2.1 Booking Process

Bookings may be made through the designated booking channel communicated by Oasys for the respective retreat.

A booking becomes legally binding only once:

  • the participant has completed the applicable booking process;

  • the required deposit or payment (where applicable) has been received; and

  • the booking has been confirmed by Oasys or its authorized booking partner.

Until confirmation is issued, availability is not guaranteed.


2.2 Eligibility

Participants must be at least 18 years of age at the time of participation unless otherwise agreed in writing.


3. Payment Terms

3.1 Deposit

A non-refundable deposit of 25% of the total retreat price is required to secure your booking.

Your place is only reserved upon receipt of this payment.


3.2 Final Payment

The remaining balance must be paid no later than 8 weeks prior to retreat commencement, unless otherwise stated on your invoice.

Installment payments may be arranged at Oasys’ discretion and must be settled according to the agreed payment schedule.


3.3 Failure to Pay

If payment deadlines are not met, Oasys reserves the right to release the reserved space without refund of the deposit.


4. Retreat Participation

Retreat participation includes only those services explicitly stated in the retreat description or booking confirmation.

Unless otherwise specified, retreat fees do not include:

  • flights or travel to/from the destination

  • travel insurance

  • visa costs

  • personal expenses

  • optional external activities not listed as included

Participants are responsible for making their own travel arrangements.


5. Health & Personal Responsibility

Participation in Oasys retreats involves activities that may include:

  • Reformer pilates

  • Meditation

  • Breathwork

  • Somatic practices

  • Movement sessions

  • Workshops

  • Excursions

  • Sessions facilitated by guest practitioners

By participating, you confirm that:

  • You are physically and mentally fit to participate

  • You will inform Oasys in advance of any relevant medical conditions, injuries, or limitations

  • You participate voluntarily and at your own responsibility

Oasys is not a medical provider and retreat experiences do not replace medical, psychological, or therapeutic treatment.

Participants are encouraged to consult a qualified healthcare professional where appropriate.


6. Participant Cancellation & Refund Policy

All cancellation requests must be submitted in writing via email.

  • More than 10 weeks before retreat start: Refund of all payments made, excluding the non-refundable deposit.

  • Between 6 and 10 weeks before retreat start: 50% refund of payments made, excluding the non-refundable deposit.

  • Less than 6 weeks before retreat start: No refund will be issued.

Transfer of Booking

Participants may transfer their booking to another eligible participant at any time, subject to written notification and approval by Oasys.

Any administrative costs incurred may be charged to the participant.


7. Cancellation or Changes by Oasys

Oasys reserves the right to cancel, postpone, or reasonably modify a retreat due to circumstances including but not limited to:

  • Minimum operational participation requirements not being met

  • Force majeure

  • Venue-related issues

  • Illness or unavailability of key facilitators

  • Safety-related concerns

Where Oasys cancels a retreat, participants will receive a full refund of all payments made.

Oasys shall not be liable for additional participant expenses, including flights, accommodation outside the retreat, or other third-party costs.


8. Force Majeure

Oasys shall not be held liable for delays, modifications, or cancellation resulting from events beyond reasonable control, including but not limited to:

  • Natural disasters

  • Pandemics

  • Government restrictions

  • Political instability

  • Travel disruptions

  • Strikes

  • Extreme weather events

In such circumstances, Oasys may reschedule, modify, or cancel the retreat as reasonably necessary.


9. Conduct & Right of Removal

Participants are expected to contribute to a respectful, safe, and supportive retreat environment.

Oasys reserves the right to remove any participant without refund in cases including but not limited to:

  • Disruptive behaviour

  • Harassment

  • Abuse

  • Unsafe conduct

  • Behaviour that compromises the wellbeing of others

Oasys shall not be liable for:

  • Personal injury resulting from failure to follow guidance

  • Loss, theft, or damage of personal belongings

  • Travel disruptions or third-party service failures

Liability for intent or gross negligence remains unaffected.

Nothing in these Terms excludes liability where exclusion is not legally permitted.
